Find out what is actually on your shared drive

Every document-control project that goes wrong goes wrong the same way: nobody knew how many documents there were, or how many were copies of each other, until the work had already started. So measure it first — with a free program you run yourself, that sends us nothing.

What you are agreeing to

We are asking to look at your shared drive, so here is exactly what happens

That request deserves scrutiny. The program is built to be inspected before anyone runs it, and your IT team is welcome to watch the first run.

01

One file. No installer.

You download a single program and double-click it on any Windows machine. Nothing gets installed, nothing runs in the background, and nothing is left behind when you close it.

02

It only reads. It never writes.

It looks at file names, folders, sizes, dates and the author names Word already stores. It cannot change or delete anything, and it only looks where you point it.

03

Nothing leaves your building.

The report is written to your own machine. We do not receive it, and we cannot — the program does not send anything anywhere. If you want our help reading it, you send it to us.

04

The report is yours to keep.

Whether or not you ever talk to us again. Several people have found it useful simply as an argument for tidying up.

It does not take over anyone's computer. It does not log into systems as a person, it does not move anyone's mouse, and it cannot open a document and change it. It walks through folders and writes down what it sees.

What the report tells you

Worth reading even if you never speak to us again

No estimates, no guesses and no AI — just what is actually there, counted.

How many documents you really have

Usually several times the number in the document register. The gap between those two numbers is the whole problem, in one line.

The same document, four times over

Copies and near-copies grouped together, so you can see which procedure exists in three folders at three different revisions.

Who actually writes and approves

Names taken from the file properties Word saves automatically — usually a more honest picture than the org chart.

The forgotten corners

Documents nobody has opened in six years, and documents referred to by others that no longer exist anywhere.

How much of it is scanned paper

Scans have to be read by software before they can be searched or controlled. How much of your drive is images rather than text drives the effort more than anything else.

How old it all is

When each document was last touched, and how much of it has not changed since before your last certification audit.

The next step, when you want it

The scan tells you what you have. The assessment tells you what to do about it.

Counting is the easy half. Deciding what gets migrated, what gets merged, what gets left behind and what it will cost is the half that needs a person who has done it before.

  • We read the report with youA working session on your own numbers, not a slide deck.
  • A plan for your documentsWhat comes across as-is, what gets merged, what is retired, and in what order.
  • A fixed price for the workFor bringing everything in, and for the subscription after it. No estimates that grow.
  • Somebody accountable for the numberIf the plan is wrong, that is on us, and it is in writing.
  • Fee$7,500, fixed and agreed before we start
  • What it costs in the endNothing, if you go ahead — it comes off your onboarding in full
  • How longOne to two weeks, most of the work ours
  • Your timeA call at the start, a machine to run the scan on, one session to go through it

Bring us your worst shared drive.

Nothing you show us will be surprising, and the messier it is, the more the scan is worth. We will tell you honestly if the answer is that you are not ready for a system like this yet.
